The Role
Are you a dynamic and detail-oriented event professional with a passion for delivering seamless and professional meetings and events? The Royal Australasian College of Physicians (RACP) is seeking an Event Coordinator to join our Conference & Events Team in Sydney.
This vital role ensures the smooth operation of our Sydney-based office event spaces and supports the planning and execution of a wide variety of internal and external events — from webinars, to small meetings, and larger corporate events — both in-person and virtually.
Key Responsibilities
Plan and deliver webinars end-to-end, including platform setup, speaker coordination, content development, technical support, and post-event editing and distribution.
Manage presentation and digital event materials ensuring smooth transitions and brand consistency.
Maintain positive working relationships with key stakeholders including Fellows, Trainees, staff, specialty societies, and external organisations.
Manage logistics such as room bookings, catering, physical setups/pack-downs (for hybrid or on-site components), and liaise with contractors and service providers.
Troubleshoot technical issues during live online events, working closely with support team to ensure seamless delivery.
Serve as on-site event support when required, including venue resets and post-event cleaning.
Ensure a high standard of customer service, operational efficiency, and audience engagement across all virtual and in-person event experiences.
Provide timely feedback and reporting to the Conference & Events Manager (CEM), including attendee metrics, engagement levels, and areas for improvement.
Desired Skills and Experience
What we’re looking for
This is a great opportunity for someone with strong experience in online, in-person and hybrid event delivery, excellent interpersonal skills, and a commitment to exceptional service. Other key attributes include:
Proven ability to manage end-to-end delivery of online events, including speaker coordination, AV checks, and audience engagement.
Solid understanding of event logistics, both virtual (webinar platforms, online registration, digital content) and physical (venue operations, catering, AV).
Highly organised with strong problem-solving abilities, attention to detail, and a proactive mindset.
Comfortable using virtual platforms (e.g. Zoom, MS Teams, EventsAir) and tools like Microsoft Office Suite, SharePoint, Survey Monkey and Slido.
Excellent written and verbal communication skills, with confidence in briefing speakers and addressing live audiences online.
Ability to juggle multiple priorities and meet deadlines in a dynamic, fast-paced environment.
Professional presentation and the ability to work both independently and as part of a collaborative team.
Flexibility to work outside standard hours, including early mornings, evenings, and occasional weekends.
