Job Description
About the Role
The position of Examinations Coordinator is in the Assessment Services, Education, Learning and Assessment directorate. The Directorate is responsible for the development of physician training curricula, selection into training improvements, development of learning resources and evaluation systems for RACP training programs
The primary purpose of the Examinations Coordinator role is to support the effective planning, coordination, and delivery of the Divisional Written Examination. Working closely with the Executive Officer, the Coordinator is responsible for managing examination logistics, supporting committee operations, and providing high-quality service to candidates, examiners, committee members, and suppliers.
Key Accountabilities
Coordinate timelines, processes, communications, and documentation to support the effective delivery of Divisional Written Examinations, ensuring accuracy, compliance, and a high standard of service to stakeholders
Provide secretariat support to the Divisional Written Examination Committees and other relevant meetings, including preparing agendas and briefs, organising logistics, attending meetings, drafting minutes and correspondence, and supporting implementation of decisions, policies, and procedures.
Support the planning and delivery of standard setting sessions, candidate information sessions, and committee meetings, including organising travel and accommodation for staff and committee members.
Maintain accurate records of candidate applications, eligibility, withdrawals, special considerations, and examination results to ensure integrity and reliability of data.
Manage the exams inbox by triaging and responding to enquiries, escalating complex or sensitive matters, and ensuring timely resolution of urgent issues.
Desired Skills and Experience
Essential Attributes
Qualifications or equivalent experience in high-level administrative support.
Experience coordinating large schedules and understanding of geographic locations in Australia.
Experience in a fast-paced and complex environment supporting multiple stakeholder groups.
Strong interpersonal skills with the ability to build effective working relationships across teams and with external stakeholders.
Excellent planning and organisational skills, with the ability to manage competing deadlines while maintaining high standards.
Commitment to professionalism, confidentiality, and ethical standards.
High level of accuracy and attention to detail, including proofreading.
Demonstrated initiative and sound problem-solving skills.
Strong written and verbal communication skills, including the ability to handle sensitive enquiries.
Flexibility and resilience, with the ability to work effectively under pressure.
