The Role

Are you a dynamic and detail-oriented event professional with a passion for delivering seamless and professional meetings and events? The Royal Australasian College of Physicians (RACP) is seeking an Event Coordinator to join our Conference & Events Team in Sydney.

This role coordinates high-quality meetings and event across two Sydney offices, manage internal and external stakeholders with a customer-centric approach and supports floor operations.

Key Responsibilities

  • Successfully support the coordination of logistical operations for all onsite events at RACP Sydney offices. This includes working directly with staff and external stakeholders to collate all meeting or event requirements, liaising with internal support departments and supporting onsite event deliveries alongside venue coordinators.
  • Support and maintain relationships with key Fellows, Trainees, Staff, specialty societies and other outside organisations who contribute to the requirements of meetings, events and conferences.
  • Coordinate office facilities and equipment to support meetings and events, including room bookings, room set-up and pack-downs, catering service, basic AV support and maintenance of event equipment and events kitchen. Collating meeting and event requirements into operational documents for venue coordinator execution, host weekly team briefing meetings and provide client feedback to VPL on client experiences.
  • Ensure all technological issues for events are managed efficiently and continuing issues are reported to the Venue Projects Lead (VPL) and relevant support teams such as IT or Facilities.
  • Manage internal and external stakeholders including College caterers, external suppliers, facilities and IT support.
  • Provide support to the venue coordinators to delivery and support meetings and events when required.

Desired Skills and Experience

What we’re looking for

This is a great opportunity for someone with experience as an event coordinator or relevant events operations position, with excellent interpersonal skills, and a commitment to exceptional service. Other key attributes include:

  • Solid understanding of event logistics for in-person and hybrid events
  • Experience in administrative aspects of meetings, events and conferences including and understanding of venue management and operations
  • Ability to balance multiple priorities and events/meetings efficiently and effectively
  • Self-motivated with the ability to work independently
  • Excellent communication skills including experience in speaking to small and large group
  • Professional personal presentation
  • Outstanding organisational skills, initiative and problem-solving ability
  • Ability and willingness to re-set rooms, clear and clean rooms and oversee in the delivery of on-site meetings and events
  • Knowledge of IT platforms and ability to trouble shoot basic IT techniques
  • Flexible work schedule, including working early mornings, nights and occasional weekends
