Our 3-2-1 Hybrid Working Model

  • 3 days from anywhere in Australia or Aotearoa New Zealand per week,  
  • 2 days from an RACP office location per week,  
  • 1 of the two days per week in office spent with your team.  

Job Description

The primary purpose of the role is to work with the Executive Officer and Senior Executive Officer, Faculty & Chapter Examinations, to coordinate the planning, logistics and results release processes for Faculty & Chapter examinations, including providing administrative support for examination and committee processes and coordinating the involvement of other team members.  This role also provides support to other teams within the business unit as required. This is a 12-month fixed term contract starting ASAP.

The key responsibilities for this role:

 

  • Manage timelines, processes, communications and documentation to support the coordination and delivery of the Faculty examinations and assessments to ensure a high standard of service delivery.
  • Provide secretariat support to relevant examination and assessment committees and panels, including preparation of agendas and briefs, organising and attending meetings, producing minutes, drafting reports and correspondence, and supporting the implementation of committee decisions, policies and procedures.
  • Arrange calibration/training sessions and provide support to committees, panels, examiners, hospital administrative staff and other non-staff members involved in conducting Faculty assessments.
  • Maintain records of candidate details, applications and results to ensure accuracy and reliability of information.
  • Provide general administrative support to the Faculty & Chapter Examinations team, and also to the Divisional Examinations team where required.
  • Any other duties as may be reasonably expected, and which are commensurate with the level of the role

 

 

Desired Skills and Experience

In order to be considered for this role we are seeking the following level of skills and experience:

Essential

  • Relevant qualifications or an equivalent combination of relevant training and/or experience in administration.
  • Previous experience in an administrative support role in a busy, customer-focused work environment.
  • Previous experience working with Committees in a Secretariat function.
  • Excellent interpersonal skills and an ability to build partnerships and work collaboratively with others to meet shared objectives.
  • Effective planning and organisational skills with the ability to manage competing deadlines and high workloads without compromising quality and standards.
  • A commitment to professional and ethical client service.
  • High degree of accuracy and attention to detail, including proofreading skills.
  • Proven initiative and problem-solving skills.
  • Proven ability to work autonomously and as part of a team.
  • Excellent written and oral communication skills, including the ability to deal with sensitive issues and enquiries, and to manage confidentiality.
  • Proven ability to be adaptable and flexible.
  • Must be confident working in Microsoft Excel, including working with large amounts of data and able to sort, filter and merge data.
  • Must be comfortable or skilled in Microsoft Word, including mail merges, template creation, headers and footers, numbering, and formatting.
  • IT Capabilities: Microsoft Office Suite, SharePoint and video/teleconferencing platforms

Desired

  • Operational experience in supporting the delivery of high stakes assessments.
  • Experience supporting committees.
  • Experience in a postgraduate education institute or not for profit membership organisation.
