Job Description
The Role
The Senior Administration Officer role sits within the Policy and Advocacy unit (P and A), which provides the College with advice on policy development so that it can be engaged in the health policy debate which affects the Fellowship and trainees. The purpose of this role is to provide high level administrative and operational support to the Policy & Advocacy unit including project support, membership engagement and systems administration.
Tasks will include but are not limited to:
Provide day-to-day operational and administrative support for the Aotearoa P&A team.
Deliver high-quality secretariat support to the Aotearoa New Zealand P&A Committee, including meeting preparation, coordination, minute-taking, and action tracking.
Maintain scheduling and accurate tracking systems for P&A activities, including documenting ‘wins’ and outcomes.
Support data collection, reporting and internal communications, including preparation of reports and materials for leadership, committees and membership.
Undertake environmental scanning including monitoring consultations, legislative process, and emerging issues in media of relevance to the College.
Other tasks as required to support the Aotearoa P&A team, broader P&A team or other College teams in support of the RACP’s strategic objectives.
Desired Skills and Experience
The successful candidate will have:
Experience in secretarial and administration support to a team
Experience in correspondence and report development
Excellent attention to detail
Strong initiative, problem solving skills and the ability to identify potential issues and solutions
Excellent verbal communication, influencing and liaison skills and an ability to deal across all levels of an organisation
Excellent written communication and organisational skills, ability to assist and support the production of reports
Strong project support and research skills particularly in the support of briefs and business case preparation
High level computer competence especially in MS Word and Excel
Proven ability to prioritise, multitask and work under pressure within the context of tight and, at times, competing deadlines
Strong interpersonal and people skills
